Job summary

The Administrative Manager (Education Cluster) will be responsible for overseeing and ensuring the smooth operation of academic programmes and administrative functions within the educational institution. The Administrative Manager will play a key role in managing administrative and financial tasks as well as in handling the sales portfolio.

Duties and Responsibilities

Administrative Leadership:

  • Coordinate the development, implementation, and assessment of new academic programs in collaboration with faculty and departmental leaders.
  • Provide leadership and supervision to administrative staff, ensuring effective communication, teamwork.
  • Collaborate with other departments to streamline administrative processes and enhance overall efficiency.
  • Manage course scheduling, classroom assignments, and academic resources to optimize teaching and learning experiences.
  • Ensure compliance with accreditation standards, regulatory requirements, and institutional policies related to academic programs.
  • Manage the Student Information System.
  • Coordinate all legal matters internally with regards to MoU and MoAs.
  • Oversee student services operations, including admissions, registration, academic advising, and student records management.

Financial Administration:

  • Assist with budget preparation and monitoring, including tracking expenses, processing invoices, and reconciling accounts.
  • Work closely with the finance department to ensure accuracy and compliance with financial policies and procedures.
  • Prepare financial reports and analysis as needed to support decision-making processes.
  • Coordinate procurement of academic materials, equipment, and technology resources to support teaching, research, and learning activities.

Sales portfolio:

  • Prospecting New Leads: Utilise various methods such as phone calls, networking, events, and online platforms to identify and engage potential customers interested in Academic and Executive training programs.
  • Building Customer Relationships: Develop and maintain strong relationships with customers to understand their needs, address concerns, and provide tailored training solutions.
  • Sales Presentation: Conduct sales presentations to showcase the benefits and features of our training programs, effectively communicating value propositions to prospective clients.
  • Managing Recruitment Agents: Coordinate with recruitment agents to ensure alignment with sales objectives, provide necessary training and support, and monitor performance to optimize results.
  • Participating in Education Fairs: Represent the company at education fairs and other relevant events to promote training programs, interact with attendees, and generate leads.
  • Negotiation and Closing Deals: Lead negotiations with clients to finalize agreements, overcome objections, and secure commitments for training engagements.

Data Analysis and Reporting:

  • Collect, analyse, and report data on academic programmes, student outcomes, enrolment trends, and other key performance indicators.
  • Prepare regular reports, presentations, and dashboards for senior leadership, accreditation bodies, and other stakeholders to inform decision-making and planning.
  • Use data-driven insights to identify areas for improvement, evaluate program effectiveness, and drive continuous quality enhancement efforts.
  • Collaborate with Managing Director to identify opportunities for innovation, growth, and sustainability in line with institutional mission and vision.

 Candidate’s Profile

  • Bachelor’s degree any educational fields
  • Previous experience in administration management preferably in the education sector.
  • Proficiency in relevant software and Microsoft tools.
  • Understanding of student housing regulations and leasing policies is a plus.
  • Ability to maintain confidentiality and handle any sensitive information responsibly.
